Privacy Policy

This Privacy Policy describes how Omnia Enterprise, LLC collects, uses, stores, and discloses personal information in connection with the Omnia Platform and related services. This Policy applies to Subscriber organizations and their authorized Users.
Who We Are
Omnia Enterprise, LLC ("Omnia," "we," "us," or "our") is a Texas limited liability company that provides a workforce management SaaS platform and custom software development services.
Data Controller / Processor Role
In the SaaS context, Omnia generally acts as a data processor on behalf of the Subscriber organization (the data controller), which retains primary responsibility for personal information submitted to the Platform. Omnia acts as an independent data controller with respect to information collected through its website, marketing activities, and usage analytics.
Information We Collect
PP-2.1 Information Provided by Subscribers
In connection with account registration and use of the Platform, Omnia may collect:
- Subscriber organization information — Entity name, address, federal EIN or tax ID, billing information, and contract details.
- Administrator and User information — Name, business email address, job title, phone number, and assigned role.
- Client Data — Employee records, scheduling data, time and attendance data, HR documents, and other workforce information that Subscribers input into the Platform.
PP-2.2 Information Collected Automatically
When Users access the Platform, Omnia automatically collects:
- Log data — IP addresses, browser type, operating system, referring URLs, pages viewed, and access timestamps.
- Device information — Device type, unique device identifiers, and network information.
- Usage data — Feature interactions, workflow patterns, and performance metrics (aggregated and de-identified).
- Cookie and session data — Session tokens, preference settings, and analytics identifiers. See Section PP-7 (Cookies).
PP-2.3 Information from Third Parties
Omnia may receive information from third parties in connection with identity verification, payment processing, and integration with HR or payroll systems authorized by the Subscriber.

Disclosure of Personal Information
Omnia does not sell personal information. We may disclose personal information to:
- Service Providers and Subprocessors — Third-party vendors that assist in Platform operation (e.g., cloud infrastructure, payment processing, email delivery), who are bound by data processing agreements providing equivalent protection to this Policy.
- Subscriber's Authorized Personnel — In accordance with Subscriber's instructions.
- Legal Authorities — Where required by applicable law, regulation, judicial order, or governmental authority. To the extent permitted, Omnia will notify the affected Subscriber prior to such disclosure.
- Business Transfers — In connection with a merger, acquisition, or sale of all or substantially all of Omnia's assets, provided the successor entity agrees to honor this Policy.
- With Consent — In any other circumstance with the applicable individual's or Subscriber's prior written consent.
Data Retention
Omnia retains personal information for as long as necessary to provide the Platform, fulfill the purposes described in this Policy, and comply with applicable legal obligations. Specific retention periods:
- Client Data — Retained during the Subscription Term plus 30 days (transition period), then securely deleted per Section 5.6 of the Terms of Service.
- Account and User data — Retained for the duration of the business relationship plus 3 years for legal and audit purposes.
- Financial records — Retained for 7 years as required by applicable tax and accounting regulations.
- Security and audit logs — Retained for 12 months.
Individual Rights
Individuals whose personal information Omnia processes may have the following rights depending on applicable law — including the Texas Data Privacy and Security Act (TDPSA), CCPA/CPRA for California residents, and GDPR for EEA individuals:
- Right to Access — Request information about personal data Omnia holds.
- Right to Correction — Request correction of inaccurate personal data.
- Right to Deletion — Request deletion of personal data (subject to legal obligations).
- Right to Portability — Receive a copy of personal data in a structured, commonly used format.
- Right to Opt-Out of Sale — Omnia does not sell personal information.
- Right to Non-Discrimination — Omnia will not discriminate against individuals for exercising privacy rights.
- Right to Appeal — If Omnia declines a rights request, individuals may appeal by contacting us at the address in Section PP-10.
Cookies
The Platform uses session cookies and similar technologies strictly necessary for authentication, security, and Platform functionality. Omnia does not use advertising or behavioral tracking cookies. Subscribers may configure additional analytics integrations within the Platform subject to their own end-user disclosures.
Security
Omnia implements administrative, technical, and physical safeguards designed to protect personal information against unauthorized access, disclosure, alteration, and destruction. These include encryption at rest and in transit, role-based access controls, penetration testing, and security incident response procedures. In the event of a confirmed security incident affecting personal information, Omnia will notify affected Subscribers within 72 hours as described in Section 5.5 of the Terms of Service.
Children's Privacy
The Platform is not directed at children under the age of 13. Omnia does not knowingly collect personal information from children. If you believe a child has submitted personal information through the Platform or our website, please contact us and we will promptly delete it.
Changes to This Policy
Omnia may update this Privacy Policy from time to time. Material changes will be communicated by email or prominent notice within the Platform at least 30 days before taking effect. The effective date at the top of this page will be updated upon each revision. Continued use of the Platform after changes take effect constitutes acceptance of the revised Policy.
Governing Law
This Privacy Policy is governed by the laws of the State of Texas, without regard to its conflict of law principles.
